How to Report a Suspicious Email (SPAM/Phishing) and Block/Delete the Sender
If you receive an email that looks suspicious, unexpected, or potentially harmful, please follow the steps below to help keep your account and the university network secure.
1. Do NOT click on any links or open attachments
Before anything else:
- Do not reply to the message.
- Do not click links or download attachments.
- Do not provide any personal information.
2. Report the Email to the IT Services
Option A: Forward the email
- Select the suspicious email in your inbox.
- In the message, add a brief note such as:
“Received this suspicious email. Please review.” - Forward it to the IT Help Center.
Option B: Use Outlook’s built-in reporting tools
If you are using Microsoft Outlook:
- Open the suspicious email (do not click any links).
- In the toolbar, click Report → Phishing or Junk.
- The message will automatically be sent to Microsoft and flagged for ITS review.
3. Delete the Suspicious Email
After reporting:
- Right-click the suspicious email.
- Select Delete.
- Empty your Deleted Items folder to fully remove it from your mailbox.
4. Block the Sender (Optional but Helpful)
Blocking prevents future emails from that address.
Outlook Desktop
- Right-click the message.
- Select Junk → Block Sender.
Outlook Web (OWA)
- Click the three dots (…) on the message.
- Select Block.
- Confirm when prompted.
5. If You Clicked Anything
If you accidentally clicked a link or entered information:
- Contact the IT Help Center immediately at 563-425-5876.
- ITS will help you secure your account and check for potential compromise.
